Annual Performance Appraisal
Preparation Stage
- Department’s manager must keep a list of all performance review schedules of his/her colleagues, the list is communicated to all colleagues either on the department’s notice board or communicated to staff in advance once week prior to review date.
- The review form must be available with department’s coordinator or provided by the manager minimum one-week prior review date.
- The colleagues must complete his self-review of all competencies listed in the review, listing any facts of accomplishments and/or evidence supporting his rating, it should be submitted to the manager/supervisor48 hours’ prior review date.
Conduct Stage
- The time and location of the review must be listed on the department’s notice board and continuously communicated on the occurrence date in morning briefing.
- The Manager must be ready with his comments including all supported documents related to colleague’s performance.
- The manager and employee must meet in an isolated context, were no interruptions or factors that may suspend the review session i.e. (Office phone, cell phone, don’t disturb sign, outside office location…. etc)
Discussion
- The manager and colleagues should start the session by explaining how the review will take place and the manager must allow the colleague to state his/her points and reason of every competency before the manager may comments on the competency rating.
- The manager should comment in agreement or disagreement to colleague rating and comment in writing attaching related evidence to colleague’s performance.
- The manager should relate his rating in relation to job tasks signed by colleagues, including marginal job functions.
- The manager and colleague may in some occasion not agreeing with rating, this should not affect the session progress, conflict of rating or comment reaming recorded and collaborative rate is calculated.
